How can I register for WCA 2026?

Registration is carried out through the official website:

After submitting your application, a delegate agreement will be sent to you.

Is it possible to register on the day of the conference?

No. On‑site registration at the conference venue will not be available.

  • Deadline for in‑person participation registration: 10 May 2026
  • Deadline for online participation registration: 20 May 2026

What should I do if I cannot attend after registering?

You may delegate your participation to another representative of your company.Please inform the organizers no later than 20 working days before the event.This is particularly important for international participants who require a visa.

Delegate Package

The delegate package includes:

  • Visa support (single‑entry visa valid for 6 days)
  • Access to all plenary and thematic sessions
  • Payment of airport‑related fees (visa processing, tests, “green corridor”, etc.)
  • Participation in high‑level B2B and B2G meetings
  • Company information placement in the WCA 2026 catalogue
  • Access to conference presentations via the portal after the event
  • Coffee breaks, business lunches and gala dinner
  • Delegate bag (badge, notebook, pen, USB flash drive, calendar)

Can several representatives from one company register?

Yes. The number of delegates from one company or organization is not limited.

All interested participants may register.

What is the deadline for visa applications?

Since registration closes on 10 May 2026, the visa application deadline is also set for this date.

Participants who require a visa are kindly requested to submit the necessary documents before the deadline.

What payment methods are available?

Do the organizers assist with visa arrangements?

Yes. After completing registration, you will receive an official invitation letter required for obtaining a visa.

What documents are required for visa processing?

  • Completed visa application form
  • Copy of passport (valid for at least 6 months with at least two blank pages)
  • Passport-size photo (3×4 cm, color)
  • Hotel booking confirmation (arranged by the organizers)

How long does visa processing take?

The invitation letter (LOI) is issued within 10–14 working days.

Can I obtain a visa upon arrival?

Yes. A visa can be obtained at the airport upon presentation of the invitation letter (LOI).


What happens if the visa is not approved?

What is the validity period of the visa?

The visa is issued for 6 days.

The visa invitation is valid 2 days before the event and 2 days after the event.

Which hotels will delegates stay in?

Delegates will be accommodated in official hotels such as:

Is airport transfer included?

Yes. Complimentary airport transfers are provided.

Is accommodation included in the registration fee?

No. Accommodation is paid separately.

Is there a transfer between hotels and the venue?

Yes. A shuttle bus will operate daily between official hotels and the conference venue.

Is early check‑in or late check‑out possible?

Yes, subject to additional payment and hotel availability.

Where will the WCA 2026 exhibition and conference take place?

Olimp Hotel, Ashgabat.

When will the event take place?

24–25 May 2026.

Which languages will the conference sessions be held in?

Turkmen, Russian and English (simultaneous interpretation will be provided).

Where can I collect my badge and delegate package?

  • 23 May, 14:00–20:00 – Olimp Hotel
  • 24 May – at the conference venue.

Will internet access be available?

Yes. Wi‑Fi will be available at the venue.

Is catering included in the delegate package?

Yes. Coffee breaks, business lunches, official receptions and the gala dinner are included.

Will meetings be organized during the conference?

Yes. Meetings with representatives of leading energy companies and government authorities will be arranged.

How can I request meetings?

During registration, please indicate the representatives you would like to meet.

The organizers will prepare a meeting schedule.

Will interpreters be available?

Yes. Consecutive interpretation (Russian ⇄ English ⇄ Turkmen) will be available.

Can participants enter the country through land border checkpoints?

Yes. Entry through official border checkpoints is possible with an invitation letter (LOI).

Are domestic flights or taxis included in the participation fee?

No. These expenses are paid separately according to official tariffs.
